How to Write a Cover Letter That Gets Interviews

Professional cover letter template example

A good cover letter turns a CV into a story: why you want this job, and why you are the right person for it. Recruiters read hundreds of them, so a clear, focused letter really stands out. Here's a simple structure that works for almost any role.

The 4-paragraph cover letter structure

  1. Opening — the role and the hook. Name the position and give one strong reason you're a fit. "I'm excited to apply for the Sales Associate role at Greenway. In my last position I increased repeat customers by 20%."
  2. Why you — your best evidence. Pick two or three achievements that match the job description. Use numbers wherever you can.
  3. Why them — show you did your research. Mention something specific about the company: a product, a value or a recent project.
  4. Close — ask for the next step. Thank them and say you'd welcome an interview.

Cover letter example

Dear Hiring Manager,

I'm applying for the Administrative Assistant position at Clearwater Clinic. With three years of front-desk and scheduling experience, I'm confident I can help your team run smoothly from day one.

At my current role I manage calendars for five practitioners, handle around 60 patient calls a day and recently set up a digital filing system that cut document search time in half.

I admire Clearwater's focus on patient experience, and I'd love to bring my organised, friendly approach to your front office.

Thank you for your time. I'd welcome the chance to discuss how I can support your team.

Sincerely,
Maria Santos

Cover letter mistakes to avoid

  • Repeating your CV. Add context and results instead of listing duties again.
  • Using one letter for every job. Change the opening and the "why them" paragraph every time.
  • Going over one page. 250–400 words is the sweet spot.
  • Typos and wrong company names. Read it out loud before sending.

Is it ATS-friendly?

Many companies use applicant tracking systems (ATS) to scan applications. Keep the layout clean, use standard headings and include keywords from the job ad. Our templates use a simple, ATS-friendly structure and export to PDF or Word.
